About the role
A Project Billing Specialist is responsible for managing the billing process for individual projects within a company, ensuring accurate and timely invoices are generated based on project contracts, by collaborating with project managers to gather necessary data, reviewing project costs, and submitting invoices to clients while adhering to compliance regulations; essentially acting as the key link between project execution and client billing.
What you'll do
- Invoice generation: Prepare and submit accurate invoices for each project based on project timelines, scope of work, and contract terms, including detailed breakdowns of costs and labor hours.
- Project cost analysis: Review project budgets and expenditures to ensure billing accuracy, identifying any discrepancies or potential issues with project managers.
- Contract compliance: Thoroughly understand project contracts to ensure billing practices align with agreed-upon terms and conditions.
- Data gathering: Collect necessary project documentation from project teams, including timesheets, expense reports, and change orders, to support billing calculations.
- Billing system management: Utilize project management and billing software to track project progress, record costs, and generate invoices.
- Client communication: Respond to client inquiries regarding invoices, billing discrepancies, and payment status.
- Reporting and analysis: Generate regular reports on project billing status, revenue, and outstanding receivables for management review.
- Audit preparation: Assist with internal and external audits by providing necessary documentation related to project billing.
Qualifications
- 2+ years of experience with NetSuite and SalesForce is a MUST
- 2+ years of experience in project billing
- Strong understanding of GAAP and billing practices
- Proficiency in project management software and billing systems
- Detail-oriented with excellent analytical skills to identify errors in data
- Excellent communication and interpersonal skills for collaborating with project teams and clients
- Ability to work independently and meet deadlines
- Highly organized with strong attention to detail
