The Role


We are looking for an Office Administrator to join our Operations pillar. This role ensures the effective delivery of services to our staff at Zartis while monitoring suppliers to maintain the required service levels. The duties and responsibilities include the following:- Coordinating office procedures, maintaining standards and ensuring that office goals are met.- Managing and responding to colleagues' queries through all channels, including Slack and email, by being proactive, courteous, and helpful.- Interfacing with third-parties to ensure that all colleagues' requests, issues, and complaints are resolved promptly and accurately, per defined policies, guidelines, terms and conditions.- Ensure office physical security.- Supervising and performing administrative tasks and keeping business-related records, such as files for jobs and vendors, among others.- Managing merchandising, such as item proposal, delivery times, adherence to budget and overseeing delivery.- Achieving high levels of satisfaction, and maintaining good relationships with both internal and external stakeholders.- Act and suggest improvement opportunities identified during daily work.Help manage our assets.

What would be the requirements for this role?


- Experience as a receptionist, office assistant, or administrator of at least 1 year.- Fluency in Spanish and English, both written and spoken.- A high school diploma or bachelor’s degree in business administration or a related field is preferred.- Experience managing and cultivating supplier relationships.- Skilled at anticipating team members' needs.- Tech savvy and comfortable with tools such as Google Workspace, Slack, ClickUp, etc.- Ability to prioritize and find the best possible solution in fast-paced environments.- Excellent time management skills with the ability to work well under pressure, complying with set deadlines and being able to offer alternatives in case of delay.- Ability to collaborate effectively with others in a group.- Organizational and planning skills.- Capacity to work from the office 5 times a week.
