JOB SUMMARY


The Events Coordinator will help with all aspects of planning and coordinating events under the direction of the Catering Sales Manager. We are looking for someone creative and energetic. A self-starter with excellent communication and problem-solving skills.

CORE WORK ACTIVITIES


Before Events


  • Works with Catering Sales Manager to understand all client/event needs prior to function execution 
  • Communication with existing clients leading up to event day to include final menu suggestions, floorplan and potential rentals. 
  • Give clients venue tours for final event setup, create floor plan for operations team and assist client catering menu selections questions, schedule tastings if necessary.  
  • Leads weekly BEO meetings with FOH and BOH team
  • Updates BEO as needed and communicates any changes to the appropriate team
  • Perform administrative functions for events including coordinating outside vendors, ensuring payments are received on time and assisting Catering Sales Manager with client communications after the event is confirmed
  • Adheres to and reinforces all standards, policies, and procedures
  • Manages departmental inventories and maintains equipment. Inspects Banquet areas for damages and needed repairs prior to events. Defines Systems to inspect areas following events for possible damages 
  • Oversee banquet beverage records to control Beverage costs and manage the banquet beverage perpetual inventory
  • Schedules banquet setup and service staff to maintain service standards, while maximizing profits
  • Assists team in developing lasting relationships with groups to retain business and increase growth
  • Emphasizes guest satisfaction during all departmental meetings and focuses on continuous improvement 
  • Applies knowledge of all laws, as they relate to an event

During Events


  • Greet clients upon arrival and assist with load-in or any other needs and be their main contact
  • Communicate required floor plans, AV needs and other guest requests to shift leads and staff and assist in execution when needed 
  • Actively participates in the servicing of events as needed
  • Required to work events as client contact
  • Sets a positive example to the events team for guest relations
  • Interacts with guests to obtain feedback on product quality and service levels and adjust as needed
  • Strives to improve service performance

Other


  • Reviews customer satisfaction survey results and participates in the development and implementation of corrective action to address service challenges; focuses on continuous improvement of guest satisfaction
  • Assisting catering sales manager with sales projects including working offsite promotional events
  • Participate in collaborating with new ideas with event setup/execution to continue to improve operations. 

Requirements

  • Education: High school diploma or GED required
  • Experience: 3+ years’ experience in private events, wedding coordination, food and beverage hospitality, or related professional area preferred
  • Operational Knowledge/Experience: Good at thinking through how an event will play out and coordinates logistics accordingly
  • Strong Leadership Skills: Needs to be a leader that can gain the respect and trust of the staff and is willing to pitch in as needed.
  • Customer Service Focused: Understands the customer perspective and adapts as needed to ensure the customer experience is great. Always displays a positive attitude to guests and team. 
  • Highly Organized and Detail Oriented: Strong organizational skills needed to ensure proper staffing, proper staff preparedness, proper event flow, etc.
  • Must be comfortable working without supervision and open to feedback
  • Excellent verbal and written communication skills
  • Must be able to demonstrate a pleasant, friendly and accommodating demeanor
  • Proficiency with email and Microsoft office required
  • Experience with Triple Seat preferred or relative event software 
  • Must have a flexible schedule to accommodate private event bookings
