A Brief Overview


Reporting to the office manager, the Corporate Receptionist operates telephone switchboard to answer, screen and forward calls, providing information and taking messages. Greets visitors entering establishment and directs or escorts them to specific destinations Collects, sorts, distributes and prepares mail, messages, and courier deliveries. Additionally, the Corporate Receptionist will perform word processing duties as assigned.

What you will do


  • Act as office reception to all visitors and vendors in a professional manner.
  • Approach, greet, offer assistance, and/or directions to any client, and customer who enters the office. Direct persons to the correct destination.
  • Manager queries from the public and customers.
  • Ensure knowledge of staff movements in and out of the organization.
  • Communicate with callers in a professional, friendly, and efficient manner, striving to minimize the amount of time customers spend on hold.
  • Provide basic information to callers who have general inquires
  • Perform general administrative and clerical duties.
  • Perform word processing duties which can include preparing letters and documents as needed.
  • Receive and sort mail and deliveries. Stamp outgoing mail as needed. Send UPS and overnight packages. Maintain petty cash for postage.
  • Maintain mail cart, adding, and deleting employees as needed.
  • Inventory supply closets in all departments. Order supplies when needed.
  • Call in service tickets for copiers, coffee, and water machines. Communicate maintenance and or building service needs when applicable.
  • Monitor email for request.
  • Set up guests for wireless internet.
  • Add/delete employees in security system as needed.
  • Tidy and maintain reception area.
  • Assist with office moves and other various facilities related tasks.
  • Serve as backup for Office Manager when applicable.
  • Perform other duties and projects as assigned.

Qualifications


  • Bachelor's Degree in Business Administration, or equivalent work experience Preferred
  • 1-3 years of progressively responsible experience in a similar position Required and
  • Relevant industry experience Preferred and
  • Experience working in a dynamic environment with a commitment to meeting deadlines. Required
  • Strong time management, organizational skills, and detail oriented.
  • Demonstrated ability to exercise excellent judgment and discretion in handling highly confidential information.
  • Strong written and verbal communication skills and proven ability to communicate clearly and professionally with individuals at all levels, internally and externally.
  • A high degree of professionalism and a strong work ethic coupled with a sense of responsibility and integrity required.
  • Ability to resolve problems independently and work with a high degree of autonomy and responsibility with attention to detail.
  • Computer proficiency in Microsoft Word, Excel, PowerPoint, and Outlook required.
  • Requires a detail oriented, self-starter, who takes initiative, able to prioritize, work independently with limited direction and multi-task in busy environment.
  • Ability to accept new responsibilities and adapts to changes in procedures and processes and work as a part of a team.
  • Must demonstrate strong verbal communication skills and interpersonal skills, particularly the ability to communicate effectively with all levels of management and industry professionals.
