General Job Summary:


Assist the Practice Administrator in the daily operations of the Tryon Medical Partners medical office to ensure quality care for patients. (This is a full time position that will support our Pineville and Waverly office, Monday - Friday 8 am to 5 pm).

Primary Job Responsibilities/Tasks may include, but not limited to:


  • Reviews the physicians' schedules with Practice Administrator to ensure appointments are being scheduled properly, and schedules are opened/closed accordingly and templating.
  • Performs Patient Care Coordinator / Patient Services Specialist activities, as needed.
  • Supervise cleaning and maintenance of the facility including OSHA maintenance check.
  • Under the direction of the Practice Administrator supervises telephone, electronic mail, facsimile services, and patient flow.
  • Assists the Practice Administrator with Interviews for new or replacement staff, coordinates onboarding and training of staff and provides the coverage of certain positions.
  • Assists the Practice Administrator or function in the role of Practice Administrator during absences.  This includes but is not limited to non-clinical and clinical coverage, facility and equipment needs, patient satisfaction, and patient complaints.
  • Assist with employee counseling and corrective actions, as needed, under the guidance of the Practice Administrator.
  • Manages inventory of office and medical supplies.  Provides Practice Administrator with list of items needed.
  • Making a schedule for assignment of clinical duties to other MAs including autoclaving, filling syringes, restocking if applicable.
  • May be required to review and verify timecards, run reports, clinical audits, and create staffing schedules as needed.
  • Checking on status of clinical inboxes including patient messages, prior authorizations, refill requests so that they are near empty by the end of each clinic day if applicable.
  • Checking on maintenance of pathology result logs and ensuring that reports have been received, seen by the ordering physician, and acted on in a timely manner, if applicable.
  • Handles biologics, obtaining authorizations and tracking biologic patients if applicable.     
  • Maintaining equipment and injectable drug supply orders including organizing, unpacking, and discarding expired medications if applicable.
  • Managing drug representative visits, lunches, and physicians signing for samples so as not to interrupt clinic.
  • Requesting and organizing prescription and non-prescription samples to keep supplies adequate if applicable.
  • Oversees training new hires to work on both EMR systems, as well as instructing in dermatology terminology, procedure set ups, instrument care, procedure assistance, and ordering prescriptions using refill protocols written by MDs if applicable.
  • Responsible for reporting to the North Carolina Cancer Registry if applicable.
  • Assists with online retail store management if applicable.
  • Work at different Tryon office locations as needed.
  • Other duties as assigned.

Education, Experience and Certifications:


  • High School Diploma or GED required.
  • Medical office, medical terminology, supervision preferred.
  • Excellent customer service, computer, communication skills required.
  • Completion of Hepatitis B Vaccine and Flu Vaccine Form will be required.  Candidate may decline vaccination through declination form or may provide record of vaccination from previous employer.
  • Completion of TB test will be required.

Physical Requirements:


  • Work consistently requires walking, standing, sitting, lifting, reaching, stooping, bending, pushing, and pulling.
  • Must be able to lift and support weight of 35 pounds.
  • Ability to concentrate on details.
  • Use of computer for long periods of time.
