Role Summary
We are seeking a Personal Assistant to provide high-quality support to our Programme Directors (PDs) in a central co-ordinating role. The successful candidate will be responsible for assisting with travel arrangements, expenses & the PD experience. You will oversee these tasks with a high-level of professionalism and confidentiality. This includes managing the schedule of our Programme Directors at a group level, supporting PD Training, and arranging meetings and events.This role requires strong relationship-building skills with both internal and external colleagues, as well as the ability to manage multiple tasks and competing priorities.
The successful candidate will be a proactive problem-solver who can thrive in a fast-paced environment.Please be aware that this role may require occasional travel across the UK, to assist the PDs at meetings and events.
What you’ll do
The duties of the role will include, but are not limited to:
- Supporting PD with travel arrangements and expenses
- Assist all teams across ARIA to coordinate the PD group schedule
- Collaborating with the Product team to help schedule and manage the PDs training schedule
- Supporting the Communications team on tracking PD events and media engagements
- Working closely with the Executive Assistant team to:
+ coordinate org-wide weekly team meetings & internal communications + ensure coordination of processes & alignment across the organisation + cover for other EA’s when needed (e.g. annual leave)
Who you are
- The role requires previous experience of working as a Personal Assistant in a fast-paced, dynamic environment
- You will have excellent time-management and organisational skills with the ability to work on your own initiative to tight deadlines, using judgment to make decisions and prioritise your workload
- You will need to have strong conviction in your decision making, stakeholder management & show clear judgment independently. Strong attention to detail and an adaptable attitude will also be key to this role
- You will need strong oral and written communication skills, with the ability to communicate effectively with colleagues and with different audiences
