About the Job
The Project Coordinator will play a key role in managing the end-to-end lifecycle of ad campaigns and creative projects within the Creative Studio. This position requires a highly organized, detail-oriented individual with strong project management skills who can coordinate internal teams, manage client expectations, and ensure that all deliverables meet deadlines, budgets, and quality standards.As a Project Coordinator, you will work closely with designers, strategists, account managers, and external partners to keep projects on track and drive creative innovation in attention-based advertising
Key Responsibilities:
Project Management:
- Manage the full lifecycle of creative projects, ensuring they are delivered on time, within scope, and within budget.
- Coordinate internal resources across design, strategy, and production teams, as well as third-party vendors, to ensure seamless project execution.
- Act as the primary point of contact for project updates, providing regular status reports to internal teams and stakeholders.
- Ensure all stakeholders are aligned on project goals, timelines, roles, and responsibilities by maintaining clear documentation and communication.
- Identify potential risks or roadblocks and proactively recommend solutions to keep projects on track.
Meeting Coordination & Communication:
- Lead and facilitate various project meetings, including requirements gathering sessions, workload prioritization meetings, weekly standups, and adaptive status meetings.
- Ensure meetings are outcome-driven, with clear action items and follow-ups to keep projects progressing smoothly.
- Collaborate with project management leadership to effectively communicate project completion and launch details across the organization.
Resource Allocation & Process Adherence:
- Ensure resource availability and allocation across all stages of a project to avoid bottlenecks and delays.
- Ensure adherence to project timelines, milestones, and processes, while continuously identifying ways to improve workflows.
- Maintain comprehensive project documentation, including timelines, meeting notes, and client feedback.
Collaboration & Innovation:
- Partner with Account, Sales, Ad Ops, and Product teams to align project deliverables with client goals and expectations.
- Work closely with designers and strategists to develop innovative and impactful creative solutions that drive attention and engagement.
- Assist with data entry and extraction for project tracking and reporting purposes
Qualifications:
Required Skills & Experience:
- 1+ years of experience in project management, preferably in a creative or advertising environment.
- Strong proficiency in project management tools (e.g., Asana, Trello, Monday.com) and familiarity with Adobe Creative Suite.
- Basic understanding of how to collect, analyze, and interpret data to inform creative decisions.
- Excellent organizational and time-management skills, with a proven ability to manage multiple projects simultaneously.
- Strong written and verbal communication skills, with the ability to convey ideas clearly and effectively.
- Client-facing experience, with the ability to build and maintain strong working relationships.
- Proficient in English
- Able to support the Pacific time zone in the US
Nice to Have:
- Bachelor’s degree in Graphic Design, Media, Communications, or a related field.
- Strong understanding of design principles, including UI/UX, user flows, visual language, and design patterns.
- Experience working in a service-oriented organization or creative agency.
- Familiarity with ad tech platforms and digital media.
- Knowledge of data visualization tools and methods.
