Position


Overview:


We are looking for a detail-oriented Facilities Coordinator to join our team. The ideal candidate will have experience in facility maintenance, equipment repairs, and compliance with safety regulations. This role requires strong problem-solving skills, the ability to manage multiple priorities, and effective coordination with staff, vendors, and contractors. Experience with CMMS software and knowledge of HVAC, plumbing, electrical, and refrigeration systems are highly desirable. Key Responsibilities:


Maintenance & Repairs


  • Oversee and coordinate routine maintenance and repairs for facility equipment, including HVAC systems, refrigeration units, dish machines, automation equipment, hotline equipment, and building infrastructure.
  • Ensure timely execution of preventive maintenance schedules to minimize downtime and extend equipment lifespan.
  • Manage the repair and maintenance of critical systems, ensuring operational efficiency.
  • Maintain an organized parts inventory, ensuring the availability of essential components for repairs.
  • Utilize a Computerized Maintenance Management System (CMMS) to track maintenance activities, work orders, and inventory levels.
  • Conduct audits on internal and external maintenance work to ensure compliance with quality standards and company policies.
  • Manage technician workflows, ensuring tasks are prioritized and completed efficiently.

Safety & Compliance


  • Ensure compliance with all local, state, and federal safety, cleanliness, and environmental regulations.
  • Maintain detailed records of inspections, safety audits, and corrective actions.

Facility Operations


  • Oversee day-to-day facility maintenance operations to ensure seamless functionality.
  • Collaborate with various departments to address infrastructure and equipment needs.
  • Monitor and maintain inventory levels for facility supplies and equipment, ensuring timely replenishment.

Project Management


  • Support facility improvement projects, including renovations, expansions, and equipment installations.
  • Work cross-functionally to manage project timelines, resources, and deliverables.

Documentation & Reporting


  • Maintain accurate records of all facility-related activities, including service reports, inspections, and work orders.
  • Prepare and present regular reports on facility metrics, including equipment performance, maintenance status, and upcoming needs.

Vendor & Contractor Management


  • Evaluate, select, and manage external vendors and contractors for specialized facility services (e.g., exhaust hood cleaning, fire suppression, grease trap maintenance).
  • Oversee contractor work to ensure adherence to quality and safety standards.
  • Manage vendor relationships, including service scheduling and performance evaluations.

Work Auditing & Quality Control


  • Conduct audits of internal and external work to ensure all repairs, maintenance, and improvements meet company standards.
  • Identify and resolve work quality issues, ensuring all tasks meet or exceed expectations.

Qualifications:


Education & Certifications


  • High school diploma or equivalent required.
  • Associate's degree in Facilities Management, Business Administration, or a related field preferred.
  • Engineering or trade school certification highly desirable.

Experience


  • Minimum of 2 years of experience in facilities management, maintenance coordination, or a similar role, preferably in a manufacturing or industrial setting.

Knowledge & Technical Expertise


  • Strong understanding of facility maintenance procedures and safety regulations.
  • Familiarity with food manufacturing environments and compliance standards (HACCP, GMP, OSHA).
  • Basic knowledge of HVAC systems, plumbing, electrical, refrigeration, dish machines, hotline equipment, automation equipment, and other building systems.
  • Experience using CMMS software to manage work orders, inventory, and preventive maintenance.

Compensation

All final pay rates will be determined by candidates experience, knowledge, skills, and abilities of the applicant, internal equity, and alignment with market data.
