Claremont, CaliforniaAs the Operations Coordinator, you will play a critical role in ensuring the seamless day-to-day operations of our office. From coordinating building maintenance and maintaining accurate records to managing errands and supplies, you’ll be the central point of contact ensuring seamless office operations and efficiency.

What You’ll Do:


  • Coordinate building maintenance and service providers, handling janitorial services, plumbing, AC repairs, security, pest control, and other facility needs.
  • Oversee vehicle management, ensuring company vehicles are fueled, maintained, cleaned, and compliant with smog certifications.
  • Handle office errands and logistics, including post office runs, certified mail, and special deliveries between office locations.
  • Support client and case logistics, such as picking up settlement checks, transporting clients or witnesses, and managing file transfers.
  • Maintain records and file management, including creating case folders, archiving finance records, and overseeing annual file destruction.
  • Assist with miscellaneous office tasks, such as organizing the kitchen, light housekeeping, hanging artwork, and moving office furniture as needed.

What You’ll Need to Succeed:


  • High school diploma or equivalent required; associate’s degree or higher preferred.
  • Two or more years of experience in office administration, facilities coordination, operations support, or a related role.
  • Strong organizational and multitasking skills, with the ability to manage multiple responsibilities efficiently.
  • Effective time management and task prioritization to ensure smooth office operations.
  • Valid driver’s license and a clean driving record.
  • Experience coordinating with vendors and handling building maintenance is preferred.
  • Strong communication and problem-solving skills to address operational challenges and support office needs.
  • Ability to lift and move office supplies, furniture, and packages as needed.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and basic office technology.
  • Familiarity with record-keeping, file management, and data entry.
  • Ability to work independently with minimal supervision while being a team player.

Compensation:


Salary range between $21.00 - $25.00 hourly may be eligible for additional, discretionary incentive compensation based on individual and the firm’s performance. Compensation will be determined by a number of factors including educational background and experience.
