Manager, Sample Management

POSITION SUMMARY: 


The Manager, Sample Management oversees the full lifecycle of sample materials, ensuring efficient tracking, storage, distribution, and compliance with industry regulations. This role is responsible for leading a team, optimizing workflows, and collaborating with R&D, Quality, Supply Chain, and external partners to maintain accuracy, efficiency, and regulatory adherence in sample management processes.

PRIMARY RESPONSIBILITIES: 


  • Develop and implement standardized procedures for sample intake, storage, tracking, and distribution.
  • Ensure compliance with regulatory guidelines (e.g., GMP, GLP, ISO) and company policies.
  • Manage inventory control systems to maintain sample integrity and traceability.
  • Lead, train, and develop the Sample Management team to ensure high performance.
  • Collaborate with internal and external stakeholders to align sample management practices with business needs.
  • Troubleshoot and resolve issues related to sample logistics, discrepancies, and quality.
  • Drive process improvements and technology enhancements for greater efficiency.
  • Prepare reports and audits to support quality assurance and regulatory inspections.

OPERATIONAL RESPONSIBILITIES: 


  • Receive assignments in the form of objectives and determine resource allocation to meet schedules and goals.
  • Provide guidance to subordinates within established company policies and recommend policy changes where necessary.
  • Work on diverse issues requiring evaluation of business trends, data analysis, and operational considerations.
  • Oversee scheduling, performance requirements, and may have budgetary responsibilities.
  • Act as an advisor to the team, assisting with issue resolution and technical troubleshooting.
  • Develop and coordinate operational policies to optimize efficiency and compliance.

TEAM & PERFORMANCE MANAGEMENT: 


  • Lead and supervise team members to ensure adherence to SOPs and safety procedures.
  • Oversee training for new hires and support ongoing employee development.
  • Conduct regular one-on-one meetings to discuss goals, progress, and performance evaluations.
  • Plan and lead shift meetings, fostering team morale and professionalism.
  • Approve timecards, PTO requests, and ensure staffing coverage as needed.
  • Ensure workload prioritization, delegate responsibilities effectively, and escalate issues when necessary.

COMPLIANCE & QUALITY ASSURANCE: 


  • Ensure all regulatory agency requirements are met through proper documentation, audits, and corrective actions.
  • Maintain strict compliance with HIPAA/PHI privacy policies and complete required training.
  • Oversee sample processing, ensuring accurate documentation and adherence to departmental expectations.
  • Assist directors in initiating and completing new projects to enhance operational efficiency.

QUALIFICATIONS: 


  • Education: BS/BA degree (or equivalent) in Medical Technology, Biological Sciences, or a related field.
  • Experience:
  • 8+ years of related experience with a bachelor’s degree.
  • Minimum 3 years of management experience.
  • Experience with wet lab skills and biorepository sample management is a plus.
  • Strong knowledge of regulatory requirements in sample handling is preferred.
  • Technical Skills:
  • Proficiency in inventory management software and data analysis tools.
  • Experience with Molecular Biology, GLP and QSR.
  • Strong Excel and data management software experience.

KNOWLEDGE, SKILLS, AND ABILITIES: 


  • Proven leadership and team management experience.
  • Ability to manage projects independently with minimal supervision.
  • Strong interpersonal, communication, and troubleshooting skills.
  • Excellent pipetting, word processing, and data analysis abilities.
  • Ability to analyze and improve operational processes for efficiency and compliance.

The pay range is listed and actual compensation packages are based on a wide array of factors unique to each candidate, including but not limited to skill set, years & depth of experience, certifications and specific office location. This may differ in other locations due to cost of labor considerations.Austin, TX$93,000—$116,300 USD
