Position Summary:
The Meetings and Conferences Senior Specialist is responsible for providing meeting planning support in key phases of conferences and meetings and assisting with logistical planning for the Commercial team and other departments as needed. This position has responsibility for leading logistics planning for 100+ regional commercial meetings and events. In addition, this position will be responsible for the execution of logistics and event closeout work for major conferences, sales meetings, and other related meetings.
Responsibilities:
Conferences
• Interface with industry meeting, congress and conference vendors to secure booth space, sponsorships, and other bookings and manage group registrations.• Procures and coordinates all logistics related to congresses including hotel room blocks, ordering of exhibitor services, i.e., electrical, furniture, install/dismantle, shipping, literature, logistics communication, etc.• Obtains leadership approval of nominations to attend scientific conferences.• Coordinates registration activities (invite lists, attendee management, rooming lists, name badges)• Coordinate production of booth panels and ensure all timelines are successfully met.• Maintain conference calendar and to ensure system is up-do-date on programs.• Manage vendor to ensure deliverables and timelines are successfully met.• Ensure all conference related contracts and fees are submitted and approved; initiate purchase orders and check requests for payment.• Schedule logistics pre-and post-event meetings with all attendees.• Coordinate and compile presentation slide deck with presenters for final review and approval.• Provide on-site support for booth install/dismantle and ancillary meetings.• Ensure all booth material is PRC/MRC approved for use.
Meetings
• Provide meeting logistics support including hotel rooms/contract, rooming lists, room set, catering, A/V, name badges, other event program needs.• Monitors event/meeting progress to ensure smooth execution and all finishing touches in place for duration of event or meeting.• Coordinate internal requests for special meeting and event space and layouts. Determines suitability of space-requested for activities. Secures appropriate conference rooms and other facilities.• Plan, select, and manage all food & beverage for events.• Maintain schedules and records of event and meeting activities including sign-in sheets and reconcile spend post meeting.• Requisitions needed equipment such as audio/visual and chairs; organizes required catering services and rooms; assists with providing and setting up collateral materials, if needed.• Ensures all meeting related contracts are submitted and approved; initiate purchase orders and check requests, honorariums, budget reconciliation, and reporting.
Education/Experience Requirements:
• AA or Bachelor’s degree in related Life Sciences discipline or Certified Meeting Planner (CMP) Certification. Equivalent combination of education and applicable job experience may be considered.• Minimum 4 years of relevant work experience.• 5 years of experience needed in Biotech or Pharmaceutical Industry.

Comfortableembracing new technologies and digital tools• Demonstrated experience scheduling, and negotiating with meeting vendorsStrong organization skills, attention to detail and an ability to independently manage multiple priorities and projects in a fast-paced, deadline-driven environment.• Ability and flexibility to travel as needed (10%).• All positions have an essential job function to be able to perform face to face work with colleagues and/or onsite in San Diego.

Target Base Pay Range:$90,000.00 - $115,000.00
