Summary:
Beal Bank is currently seeking an Executive Assistant to primarily support our President as well as other senior leaders on an as needed basis. The ideal candidate will be a proactive problem solver with exceptional communications skills and meticulous attention to details. This person should have experience working in an office environment, performing administrative duties and providing support to senior managers and team members. Given the dynamic nature of the executive landscape, we rely on executive assistants to be flexible and consistent while maintaining the confidentiality and the integrity of high-level systems and operations.
Essential Duties & Responsibilities (include but not limited to):
- Manage complex scheduling, including meeting agendas, mail, phone calls and other logistics
- Coordinate flow of information to senior executives
- Provide administrative and office support, such as spreadsheet creation and occasional Powerpoint presentations as needed
- Maintain electronic filing systems as well as contact and other databases
- Prepare draft communications
- Review and compare documents (i.e., legal, procedural or policies)
- Maintain professionalism and strict confidentiality with all materials and information
- Organize team communications and plan events
- Perform various weekly or monthly duties as assigned, including reports and other communications
- Other duties as assigned by manager
Qualifications (Education, Computer Skills, Certifications, Etc.):
- Five or more years of experience in an administrative role, with at least two years reporting directly to upper management
- Acute attention to detail
- Excellent written and verbal communications skills
- Strong time-management skills with an ability to organize and multi-task
- Proficiency with Microsoft Office Suite tools
- Flexible team player, willing to adapt to changes
- Ability to maintain confidentiality of information related to company and its employees
