Job Purpose:
The Billing Clerk is responsible for processing and issuing accurate invoices for products and services, maintaining up-to-date billing records, and ensuring timely collection of accounts receivable. This role plays a crucial part in supporting the finance department and ensuring a smooth billing process, while providing exceptional service to both internal teams and external customers.
Key Responsibilities:
· Invoice Processing: Prepare and generate accurate invoices and billing documents based on customer orders, service agreements, and contract terms.· Data Entry & Record Maintenance: Enter billing information into the system accurately and maintain organized, up-to-date billing records.· Accounts Reconciliation: Reconcile billing discrepancies by comparing invoices, customer payments, and accounting records; resolve issues with internal teams or directly with customers as needed.· Accounts Receivable Management: Monitor outstanding invoices and coordinate follow-ups to ensure timely payment; communicate with customers regarding billing inquiries and payment discrepancies.· Reporting: Generate periodic billing reports for management review and assist with month-end and year-end closing procedures.· Customer Service: Address customer billing inquiries promptly and professionally, ensuring a high level of satisfaction and resolving any issues efficiently.· Collaboration: Work closely with sales, customer service, and finance departments to ensure billing accuracy and support overall financial operations.· Compliance & Confidentiality: Adhere to company policies, maintain confidentiality of financial data, and comply with all relevant regulatory standards.· Additional Duties: Perform other related tasks as assigned to support the finance and administrative teams.
Job Requirements:
· Education: High School Diploma or equivalent is required; additional coursework or a degree in Accounting, Finance, or Business is preferred.· Experience: Proven experience as a billing clerk or in a similar accounting role is highly desirable (at least 1 year preferred).· Technical Skills: Proficiency in Microsoft Office (especially Excel) and familiarity with billing software or ERP systems is required.· Attention to Detail: Strong organizational skills and meticulous attention to detail to ensure billing accuracy.· Communication Skills: Excellent written and verbal communication skills, with the ability to interact effectively with customers and team members.· Problem-Solving: Ability to identify discrepancies, resolve billing issues, and manage multiple priorities in a fast-paced environment.· Customer Service Orientation: A professional and courteous approach to addressing customer inquiries and resolving billing concerns.· Must be authorized to work in the United States without sponsorship· Must be able to pass a pre employment drug test and background check
