Job Summary:
The Accounts Payable Supervisor will be responsible for overseeing the day-to-day operations of accounts payable, ensuring the accuracy and timeliness in processing invoices and other financial transactions. The AP supervisor will manage a team and provide training along with identifying and implementing any process improvements, maintain policies and procedures and collaborate with various departments within the organization for seamless operations.
Key Responsibilities:
- Supervise and lead AP Clerks in the following areas that include but are not limited to: vendor set up, invoice processing (PO and non-PO), GL coding, approval processes, 3-way matching, payment disbursements, remittances and relevant tax documents (W8, W9, 1099s forms).
- Create and maintain strong relationships with vendors.
- Oversee the reconciliation of vendor accounts, ensuring consistency and resolving discrepancies promptly.
- Be the main point of contact for escalations related to vendor payments. Resolve in a timely manner to maintain vendor satisfaction.
- Evaluate and streamline payment terms, vendor contracts, and ensure that all relevant financial data is recorded accurately.
- Review and approve payment runs and adherence to the payment run schedule.
- Develop and implement policies and procedures for standardization and to improve efficiency and accuracy.
- Maintain compliance with internal controls, policies, and relevant regulatory requirements.
- Stay current with industry trends and best practices to continuously improve operational performance.
- Train AP clerks on processes, procedures, and software tools.
- Prepare and present regular reports on AP performance, including aging reports and DPO (Days Payable Outstanding) in addition to other key performance indicators (KPIs) and trends.
- Collaborate with the finance team to support month-end and year-end closing processes and the purchasing team to resolve issues.
- Support the external audit process by providing necessary documentation and addressing auditor queries.
Qualifications:
- Bachelor’s degree (accounting, finance, or related field) is preferred.
- Certification in Accounts Payable (Certified Accounts Payable Practitioner CAPP, Certified Accounts Payable Manager CAPM, etc.)
- Minimum of 5-10 years of experience in Accounts Payable with a minimum of 3-5 years in a supervisory role.
- Leadership and team management skills. Proven ability to manage and develop teams in a high-volume, fast-paced environment.
- Strong knowledge in accounts payable processes including invoicing and payments.
- Excellent analytical, organizational, communication and problem-solving abilities.
- Ability to work effectively across cross-functional teams and with management.
- Experience in managing process improvements and implementing automation tools in financial operations.
- Proficiency in Microsoft Office Suite (Excel, Word, PowerPoint).
- Must be authorized to work in the United States without sponsorship.
- Must be able to pass a pre-employment background check and drug test.
Preferred Qualifications:
· Exposure to Machinery, Industrial Supplies and Parts, Other Commercial Services Industry.· Experience with Microsoft Dynamics, Business Central and process automation tools for AP software.· Ability to influence decision-making and contribute to strategic operational and financial planning.· Expertise in time management, problem solving and handling inquiries and disputes in a professional manner.
