Location:


Remote – India, while this is a remote position, you must be based in the Delhi area with flexibility to work onsite at our home office as necessary.

Role Description:


The Sr. AA is responsible for supporting our Chief Technology Officer and SVP, Strategy, both of whom are located in the US. This role demands a proactive and organized individual capable of handling a diverse range of responsibilities with a high sense of urgency and the ability to execute without limited direction. You will be tasked with managing and coordinating various projects within the India Operations team, including the organization of offsite events. The ideal candidate will possess strong organizational skills, meticulous attention to detail, and the ability to work collaboratively across different departments.

This role requires someone to work CST hours to align with executives working hours, this would be overnight IST hours. This role reports to the Manager, Administrative Services.

What you’ll do:


  • Provide executive support by managing a range of administrative tasks, ensuring smooth office operations and addressing unique situations with discretion and judgment.
  • Engage with high-ranking individuals from leading national and international firms, tailoring responses to handle each interaction uniquely and professionally.
  • Coordinate and manage onsite events in India, while assisting the Admin Team with planning and executing company-wide events seamlessly.
  • Review outgoing correspondence for executive approval, ensuring alignment with policies and executive viewpoints, and alerting writers to any conflicts.
  • Interpret requests and implement necessary actions, deciding when to notify executives of urgent or important matters.
  • Oversee venue coordination, manage bookings, and handle amendments efficiently to ensure successful events.
  • Manage and process weekly expenses for company executives and offsite events, ensuring accuracy and timeliness.
  • Plan and book executive travel arrangements, providing detailed itineraries and handling any changes as needed.
  • Supervise the procurement and distribution of holiday and anniversary gifts, swag, and other merchandise, ensuring timely and appropriate delivery.
  • Prepare detailed reports and provide actionable recommendations based on findings to support informed decision-making.
  • Update and manage the company-wide calendar and communications, ensuring clear and timely dissemination of information.
  • Develop and refine team processes, updating current trackers and implementing new strategies for enhanced efficiency.
  • Demonstrate strategic, big-picture thinking while executing detailed tasks with precision and attention to detail.
  • Undertake additional duties and responsibilities as necessary, contributing to the overall success of the team and organization.

What you’ll bring to the table:


  • Must have Bachelor's degree.
  • Proven experience as an Administrative Assistant or in a similar role of at least 1 year.
  • Proficiency with Microsoft 365, Slack, and Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Proficiency with websites and platforms for supply ordering.
  • Excellent written and verbal communication skills.
  • Strong organizational and time management skills.
  • Ability to handle multiple tasks and prioritize effectively.
  • Attention to detail and strong problem-solving skills.
  • Ability to work independently and as part of a team.
  • Strategic, big-picture thinking with the ability to execute many details without mistakes.
  • Ability to work in a fast-paced and dynamic environment.
